The engine underneath

Every financial event — a fee collected, a salary paid, a bill approved, an asset bought — posts balanced journal lines automatically. Debits always equal credits. Nothing is typed twice.

Three rules shape everything below, and they are worth knowing before you use any of it:

The ledger is append-only. A posted entry is never edited or deleted, in the app or in the database. Corrections are *reversals* — the original stays visible next to the entry that undid it. "We posted this, then reversed it because X" is a story an auditor accepts; a vanished entry is not.

Only leaf accounts can be posted to. The chart is a tree, and groups exist to total their children. If a posting has nowhere valid to go it lands in Suspense rather than being refused — a cashier at the counter is never blocked by an accounting configuration problem. The Suspense tab is where you clear those.

Money is stored in paisa, as whole numbers. No rounding drift, ever.

Chart of accounts

Chart of accounts is the structure of your books — assets, liabilities, income, expenses and equity, in a numbered tree. It is provisioned for you and extended automatically: add a bank account or a fee head and its ledger account appears with it, so the books never fall behind the operation.

Accounts marked system are wired to automatic postings and cannot be deleted.

Fiscal years & opening balances

Fiscal years & opening balances sets your year — in Pakistan, 1 July to 30 June. Years must be contiguous, so no transaction can fall in a gap.

Adopting ilmora mid-year is expected, not an edge case: enter your opening balances here and the books start from where your old system left off. Closing a year locks it. Nothing can be posted into a closed year, and the reversal of an entry from a closed period is dated today rather than silently reopening it.

Statements

Trial balance and balance sheet are the two that prove the rest. The trial balance leads with whether the books balance at all — a beautifully formatted balance sheet drawn from books that do not balance is a confidently wrong answer, so that fact comes first.

Statements by party answers "what is between us and this person" for staff, students, vendors and guardians in one place. Search by name — you do not have to know which kind of party someone is before you look them up. The staff statement shows what was earned, what was withheld with each deduction named, and what is left owing on an advance.

The answers

Finance reports carries the accountant's set — receipts & payments, cash & bank book, day book, purchases, collection efficiency, fund flow, defaulters and the suspense worklist.

In the Report Center: P&L for "are we profitable", Cashflow, Budget vs actual, Chart of accounts — filter by type to count your asset accounts — Cost per student, and Funds held for others, which is the money on your books that is not yours: deposits, unused credit, and fees billed for a term not yet taught.
