The funnel

Every prospect starts as an inquiry (Receptionist portal or the public apply page). Inquiries carry source, program of interest and follow-up notes — the funnel report shows conversion at each stage.

Applications & cycles

Open Admissions: create an admission cycle per intake with programs and seats. Applications attach to the cycle with documents and fee status.

Merit lists

For competitive intakes, Merit ranks applicants per program; publish the list and offer seats down the ranking. Seat availability tracks capacity vs filled live.

The prospectus fee

Money taken across the counter for a prospectus or admission form is recorded on the inquiry and posts to the books as income straight away — it does not wait for anyone to enrol. It is deliberately not a fee head: there is no student yet and no challan to put a line on. A school selling three hundred forms a season has real income, and it belongs in the accounts.

Converting

Accepting an application creates the student with everything carried over — no re-typing. The admission fee posts through the normal fee pipeline so finance sees it.

Follow-ups

The follow-ups report surfaces inquiries going cold, so the front desk calls before the family chooses another school.
